Our long-term client is the European agency responsible for the operational management of large-scale IT systems in the area of freedom, security and justice. The agency is located in Tallinn, Vesilennuki 5. CIVITTA is providing external assistance services to the agency and we are hereby selecting candidates for the following positions:

 

Digital Learning Specialist for EU Member States

You will be responsible for training of the specialists of the EU member states regarding the systems operated by eu-LISA. You will be contributing to the overall design and implementation of the institutional training plan, developing new e-learning materials and products, including interactive e-learning content using specialized software (Lectora, Articulate, Captivate and others) for specialists of the EU member states regarding the systems operated by eu-LISA. You make sure that the Learning Management System (LMS) platform’s content is updated, you create and manage forums and collaborative spaces and ensure the continuous improvement of user experience. You will also be responsible for creating storyboards, developing assessment tests, course delivery and evaluation follow up. You are expected to provide expert advice on online technologies and trends, and contribute to the development and implementation of the online strategy, providing  training on this topic to eu-LISA stakeholders. 

Experience required:

Minimum 5 years of relevant professional experience from which minimum 3 year experience in the area of e-learning; experience working with the EU institutions on training activities is a distinct advantage.

 

Training Coordinator for EU Member States

You will support the organization, planning and implementation of all eu-LISA training related activitiesof the specialists of the EU member states regarding the systems operated by eu-LISA. You are responsible for timely and efficient execution of the activities foreseen in the adopted Annual Plan and for coordination of tasks and provision of information to trainees and trainers to ensure smooth and effective delivery of courses. In collaboration with statutory staff or external experts, you assist in preparation of training related material: training curricula and training programme. 

Experience required:

Minimum 5 years of relevant professional experience from which minimum 3 year experience in administration or human resources. Experience with training is considered an asset. 

 

Strategy Planning Assistant

You will be providing support to eu-LISA in the field of strategy planning. You will contribute to the preparation of Single Programming Documents, development of the corporate strategy, various corporate governance policies and processes and their implementation, producing annual and interim reports, supporting the implementation of total quality system and making sure that the KPIs are regularly reported and performance analysis channelled into all decision making  processes and management levels. 

Experience required:

Minimum 5 years of relevant professional experience from which minimum 3 year experience in the in the EU environment and in particular with Single Programming Documents, Consolidated Annual Activity Reports, and other aspects of corporate governance of an EU institution.

 

Protective Security Support Specialist

You will be responsible for coordinating the matters related to physical security and protective security and business continuity landscape of eu-LISA. You will plan and execute objectives as set by the Security Unit in the Security Strategy and other security related policies. You will be handling and reviewing site access accreditation requests, support the management of physical security contracts and financial processes. You provide support during security incident analysis or risk assessments, run reports and handle special security- and safety-related projects, manage security guards, access control systems, video surveillance systems and other security and safety systems. 

Experience required:

Minimum of 5 years of relevant professional experience from which minimum 3 years of experience in security field.  

 

Financial Specialist

You will be coordinating and managing the financial document flows of eu-LISA and contributing to the preparation of documents for external and internal audits. On a daily basis you are expected to be performing relevant duties of a data entry agent of payment requests in the Agency’s financial management software, contributing to the assembling of payment files and processing the Value Added TAX refund requests and assisting with contract follow-up.

Experience required

Minimum 5 years of relevant professional experience from which minimum 3 year experience in finance 

 

Assistant to the Head of Governance and Capabilities Unit

You will be supporting the work of the Governance and Capabilities Unit. Your tasks include coordinating and organizing the management of document flows and the flow of work in liaison with different stakeholders; participating in planning and organizational work, including keeping the agenda, organising and coordinating appointments, meetings. You will provide input to reports related to eu-LISA and contribute to organization and participation of events and providing support to tasks related to communication. 

Experience required:

Minimum 4 years of relevant professional experience from which minimum 3 years of experience in administration.
